Getting started
What you need before your first shift, and how to try CareReady without committing to anything.
Can I try it without signing up?
Yes. Explore the demo and you land in a working product with practice data. No account, no card, nothing to install. Everything you click is real software, the clients and shifts in it are made up.
The practice data lives in your own browser. It never touches anyone else's account, and clearing your browser data clears it.
What do I need in place before I can work?
An ABN, an NDIS Worker Screening Check, and the NDIS Worker Orientation Module “Quality, Safety and You”. Then first aid (HLTAID011) and CPR (HLTAID009), and public liability plus professional indemnity insurance.

Do I have to be a registered NDIS provider?
No. Most independent support workers are unregistered, and work with plan-managed and self-managed participants.
The one hard limit: an agency-managed participant can only be claimed for by a registered provider. CareReady checks this before an invoice goes out rather than letting you find out when the claim bounces.
If I sign up later, does my demo data come with me?
No, and that's deliberate. Signing in gives you a clean account of your own. The practice data stays practice data — you never have to work out which of your clients were real.
I already support people. Do I have to type them all in?
No. Import your participants from a spreadsheet, or from a file exported out of whatever you were using before. Columns can be in any order and called whatever your old system called them — you match them up on screen.
Nothing is saved until you have seen it. You get every row laid out first: what each one will become, anyone already in your account that we would skip, and any row we can't read, with its row number and what was wrong with it. Fix those in your spreadsheet and run the same file again — the ones that already landed are not added twice.
Two things it does not bring in, because no export carries them: emergency contacts, and whether someone needs an interpreter. Add those on each participant.
Invoicing and the NDIS price rules
The rules that decide whether an invoice gets paid or sent back, and what CareReady checks before you send one.
Which price applies — the day I worked, or the day I invoice?
The day you delivered the support. A shift worked on 28 June and invoiced on 5 July bills at last financial year's price, and sometimes last year's item code too.
This one catches people every July, because it feels backwards. CareReady prices from the shift date, not today's date.
What are time bands, and why did my item code change?
Most hourly supports exist in six versions of the same service, priced differently: weekday daytime, weekday evening, weekday night, Saturday, Sunday, and public holiday. On a weekday, night runs from midnight to 6am, daytime from 6am to 8pm, and evening from 8pm to midnight. A Saturday, a Sunday or a public holiday takes the whole day.
Three public holidays cover only part of a day, and CareReady splits those too. Christmas Eve is a public holiday from 6pm in Queensland, and from 7pm in South Australia and the Northern Territory. New Year's Eve is one from 7pm in South Australia and the Northern Territory. So a 4pm to 10pm Christmas Eve shift in Queensland is two hours at the ordinary rate and four at the public holiday rate, and that holds when the date falls on a weekend as well.
The correct one is decided by when the shift actually starts and finishes, not by which code you used last time. Billing a weekday code for a Saturday shift is the single most common reason an invoice comes back. CareReady swaps to the right sibling code for you and tells you it did.
A shift that crosses from one band into another is billed as one line per band, split exactly at the boundary. A 7pm to 9pm shift is an hour at the daytime rate and an hour at the evening rate. A Friday 11pm to 2am shift is one weekday hour and two Saturday hours, and the Saturday hours are dated Saturday, because that is when you worked them. You will see every line, each named with its own slice of the shift. To book an overnight shift, just give an end time earlier than the start — the form reads it as finishing the next day and says so.
Public holidays come from the state in your Settings, so Queensland's Labour Day is billed as a holiday for a Queensland worker and as an ordinary Monday for a New South Wales one. A few days are set fresh each year, or only apply in one part of a state — Western Australia's King's Birthday, Victoria's Grand Final Friday, the Ekka. CareReady will not guess those. It names the date before you send and leaves the call to you. If you have not set a state, only the national holidays are used and CareReady says so.
What does CareReady check before an invoice leaves?
Eleven things, all of them things a plan manager checks too:
- Your ABN is there — a missing ABN means 47% is withheld from your payment
- The participant's NDIS number is present and looks right
- They aren't agency-managed (which needs a registered provider)
- Every line has a service date — undated lines are rejected outright
- Every rate is at or under the NDIS price cap for that item
- The item's time band matches the shift's actual day and time
- Every service date sits inside the price period the item belongs to
- Every service date sits inside the participant's plan dates
- The invoice doesn't push them past their recorded plan budget
- You haven't already invoiced the same work
- A signed service agreement exists for that client
Each one comes back as pass, worth-a-look, or stop. The invoice is only called clean when there are none of the last two.
Do I charge GST?
Usually not. The great majority of NDIS supports are GST-free under the Pricing Arrangements.
GST only starts to matter once your own taxable turnover — across everything you do, not just NDIS work — passes $75,000 a year, and even then it applies to the rare supports that aren't GST-free. Each service in CareReady carries its own tax treatment so this isn't a guess you make per invoice.
While your Settings say you're not registered for GST, CareReady won't let you charge it. GST is only yours to charge once you're registered for it, so the option isn't offered when you set up a service, and an invoice that somehow carries GST won't send until either the lines or the setting is put right. Turn registration on in Settings the day it becomes true and everything unlocks.
Once you pass $75,000 of invoicing in a rolling 12 months, every invoice check will say so, with your own figure beside the published threshold. It never stops you sending anything — the threshold counts every dollar you earn in business and CareReady only sees the work you do through it, so what that means for you is a question for the ATO or your accountant. Your Money page keeps the same figure, and lists any invoice you've already sent that charged GST while your settings said you weren't registered.
How current is the price list in the app?
CareReady holds more than one year of the NDIS Pricing Arrangements and Price Limits, and a shift is priced against the schedule that applied on the day it was delivered, not the day you got around to invoicing. So work you deliver in June and bill in July is priced at June's rates, which is the NDIS rule. The year in use is shown against the line rather than assumed.
The NDIA republishes the schedule every July, usually with about a week's notice, and codes get retired as well as repriced. When a new schedule lands we load it. Your own claim should always be checked against the NDIA's published schedule, which always prevails over anything shown in an app, including this one.
Kilometres and travel
Travel is one of the most commonly mis-claimed things in the scheme. Here is what you can actually claim.
What can I claim for driving?
Non-labour travel costs at a flat $0.99 per kilometre for 2026-27, GST-free, for travel directly connected to delivering a claimable support.
The rate goes by the day you drove, not the day you invoice. Bill a June shift in July and CareReady prices its kilometres at June's rate, the same way it prices the shift itself — you do not have to remember which year a late invoice belongs to.
Two conditions. The support item has to be one that allows provider travel at all — travel isn't claimable on every item — and the kilometres go on that item's own travel companion line, not bundled into the support line. CareReady finds the right companion line, and simply won't offer travel on an item that doesn't allow it.
What do I need to record?
The real distance and the route, suburb to suburb. Not a rounded guess. That suburb-to-suburb pair is the thing a plan manager asks for if they query the claim, so CareReady saves it as you type rather than waiting for you to finish the booking.
Is that the same as the ATO's cents-per-kilometre rate?
No, and mixing them up is easy. $0.99 a kilometre is what you bill an NDIS participant for provider travel. The ATO's cents-per-kilometre rate (91 cents) is a tax deduction on your own return, for driving you paid for yourself and did not bill to anyone. Two different numbers doing two different jobs — CareReady keeps them apart, and reads both out of the product so this page cannot drift from what it actually charges.
Compliance and credentials
Screening, insurance, agreements and cancellations — the paperwork that decides whether you get paid and whether you stay working.
How does the compliance wallet work?
Your screening check, insurance certificates and first aid qualifications live in one place with their expiry dates, and the app warns you before one lapses instead of after. An expired screening check can stop you working, and it never expires at a convenient moment.
A client cancelled at the last minute. Can I still charge?
If there was less than seven clear days' notice before the appointment, the NDIS Pricing Arrangements allow up to 100% of the agreed fee for that support to be charged.
It only holds up if your signed service agreement says so. CareReady writes that clause into the agreements it generates, and asks whether a cancellation was inside seven days rather than assuming — a client who cancels three weeks out shouldn't get billing language thrown at them.
Why does an invoice need a signed service agreement?
It's the documented basis for billing GST-free and for charging a late cancellation at all. Without one, an invoice can be perfectly arithmetically correct and still have nothing behind it.
Does this get me registered?
It gets you audit-ready. The evidence an auditor asks for — screening, insurance, incident and complaints registers, session records — builds up as a side-effect of using CareReady for ordinary work, rather than being reconstructed in a panic.

The family portal
What a participant and their family can see, and the line the portal doesn't cross.
What does the family actually see?
What's coming up and who's coming, that the worker's credentials are current, how things are tracking against the participant's own goals, invoices, and a way to ask a question or note a preference.
Keeping a family in the loop is the thing nothing else on the market does, and the thing families say they most want. Have a look at the portal — the demo shows it as a family sees it.
Can the family see my private notes?
No. The portal shows what's scheduled, what's been delivered, progress against goals, and invoices. Your own working notes stay yours.
Is it finished?
Not yet, and we'd rather say so. Today it uses one switcher to stand in for what will be two separate sign-ins — a participant speaking for themselves, and a guardian watching over the support. The screens are real; the two logins behind them are still being built.
Billing — your CareReady subscription
What CareReady costs you, as distinct from what you bill your participants.
What are the plans?
- One plan, $49 a month — $588 a year, or $530 paid annually (about 10% off). Everything: unlimited invoicing, the family portal, and your money and tax. No tiers.
- One month free trial — every subscription starts with a free month, on the same terms as the paid plan. Nothing charges by itself.
- Registration pack, $299 to $499 — one-off, only if you decide to become a registered provider. Still a preview today: nothing bills it, and you can say you're interested when you sign up.
The pricing on the front page says the same thing with a bit more context.
Do you take a cut of my work?
No. We never take a commission on the supports you deliver — CareReady is a flat monthly price, full stop. What a commission costs is worth seeing in full. Mable, for one, takes 16.6% of what your client pays. At $72.74 an hour, 25 hours a week, 46 weeks, that is $83,651 of work and $13,910 of it goes to the platform. That is most of why this one exists.
The hourly rate is Hireup's published participant rate of $72.74, used because it is a real, checkable, published Australian price — Mable does not set an hourly rate. Both companies' figures come from their own published fee pages, checked 10 August 2026.
What happens if I stop paying?
You can always export everything you've put in, whatever state your subscription is in. The exact cancellation and refund terms are still being written — section 4 of the terms of service is honestly marked as unfinished rather than filled with something we haven't decided.
Privacy and your data
Participant information is sensitive information under the Privacy Act. Here is exactly who can see what.
Where is my data stored?
In Sydney, Australia, with backups held in Australia. Your records don't leave the country. If that ever changes we'll update the privacy policy and tell you before it happens, not after.
Can other support workers see my clients?
No. Each worker's records are kept separate, and that separation is enforced inside the database itself — not by the app remembering to be careful. There is no shared pool of participant records.
I work for an organisation. What can my coordinator see?
Your work records: shifts and rosters, timesheets, invoices, and whether your screening, first aid and insurance are current. That is the point of the organisation edition — they roster you and they pay you.
A coordinator cannot see your participants' records. Not names, not notes, not health information. That wall sits in the database, exactly like the wall between workers.
How do I get my data out, or delete my account?
Settings → Your data downloads everything CareReady holds for your account, in two forms: a complete data file, and a plain-English summary you can actually read.
Settings → Delete my account files a deletion request that a real person reviews — not an automated wipe — and we aim to respond within 30 days. Download your data first so you keep your own copy either way.
How long do I have to keep participant records?
Generally at least seven years from when the record was made or the participant last received a service, and longer for someone who was a child at the time — typically until they turn 25. That's a general NDIS record-keeping expectation rather than advice about your particular situation, so check what applies to you if you're unsure.

Yes. It's a website, so there's nothing to install, and it works the same on a phone as on a laptop.
Do I need to be a registered provider to use it?
No. It's built for independent workers first. Registration is something you can grow into, not a starting requirement.
Will it stop my invoices being rejected?
It checks the eleven things plan managers reject invoices for, before the invoice leaves. It can't promise a plan manager's decision, but the common causes get caught while you can still fix them.
Is my data mine?
Yes. The client records, notes and business information you enter belong to you, and you can export them at any time, including on your way out.
